What happens on your side
- Six things to confirm at onboarding. ID, Right to Rent, proof of address, bank details, emergency contact, address for service. Standard under UK law.
- Compliance pack acknowledgement. You read the Renters' Rights Act info sheet, the gas safety certificate, the EPC. One tick. A PDF goes to both of you as proof.
- Direct messaging with your landlord. Maintenance, queries, payment confirmations. Every message timestamped. If something is ever disputed, the record is there.
- Your data, your rights. GDPR Subject Access Request or erasure โ one click. You keep control of what is stored about you.
- Clean exit at end of tenancy. Deposit return evidence, checkout checklist, forwarding address. No chasing.

๐ Stage 2 โ RRA Information Sheet โ Existing Tenants
Transitional compliance for pre-RRA tenancies (deadline: 31 May 2026)
- Live Temporary transitional tooling Purpose-built for the RRA Phase 2 deadline (31 May 2026). Existing tenants must receive the government RRA information sheet. Not restricted after deadline โ better late than never.
- Live Evidence of sharing (e-sign) Landlord shares the RRA pack, tenant acknowledges receipt. Both parties receive a PDF via email evidencing the sharing and acknowledgement โ audit-grade.
- Live Dual email confirmation Both landlord and tenant receive an email with the PDF that evidences the sharing and tenant acknowledgement.
๐ Stage 3 โ Tenant Onboarding Pack (Pre-Screening)
From email invitation to approved onboarding pack
- Live Email invitation trigger Landlord inputs the tenant email address, triggering the Tenant Trust workflow. Branded invitation email with magic link sent to tenant.
- Live Tenant onboards to platform Tenant accepts invitation, signs user agreement, completes their profile. Web-based, can be done in multiple sessions โ not brittle.
- Live Artefact upload with comment threads Tenant uploads fields and artefacts. Each onboarding artefact or field has a comment thread between landlord and tenant for clarification.
- Live Landlord reviews and decides Landlord has a complete onboarding pack. They approve to progress to contract, or decline โ tenant is informed nicely via email. Tenant can then offboard or remain for future use.
- Live Multi-session, non-brittle UX Tenant can work through the pack bit by bit over multiple sessions. Not an all-or-nothing process. Progress saved automatically.
- Partial MOL details for contract readiness Memorandum of Letting details captured during onboarding to feed into the contract pack.
- Live Reference requests from previous landlords Tenant can provide previous landlord email for reference. Previous landlord receives branded email, leaves feedback without needing a profile. Told about Tenant Trust as a growth channel.
- Partial Onboarding pack folder All artefacts ring-fenced to that tenant profile for that onboarding. Tenant can see their pack through their dashboard in future and re-use artefacts.

Live tenancy โ from start date to daily management
- Live Legal tenancy from start date Tenant has a legal contract and is considered onboarded from the tenancy start date. All property access and features activate.
- Live Property documents and passwords available From start date, all passwords, codes, and property documents the landlord shares are available through the tenant portal.
- Live Onboarding pack always accessible Tenant can always see their onboarding pack โ all submitted steps, status, and data. Available via My Onboarding tile on tenant dashboard even after onboarding is complete.
- Live Non-mandatory documents updated live Landlord can upload non-mandatory property artefacts, toggle visibility to onboarded tenants, and update over time. Latest copies always available.
- Live Messaging with full audit trail Tenant communicates with landlord through Tenant Trust messaging. All communications logged for future audit and evidence.
- Live AI compliance-aware messaging Issue types tagged through workflow and AI. If tenant reports mould, landlord gets private compliance advice (RRA SLA day count, suggested responses). AI buddy drafts compliant messages โ advisory only, not legal advice.
- Partial Room condition photos (pre-tenancy) Landlord uploads room photos before tenancy start. Tenant approves. RoomConditionPhoto model with PRE_TENANCY/POST_TENANCY types, PENDING/APPROVED/DISPUTED status.
- Live Bin rota responsibilities Tenant is informed of bin collection schedules and responsibilities for their property.
- Live Property house thread (multi-let) Per-property group chat for all active tenants + landlord. PVT chat fidelity with file attachments. Tenant exits thread on offboarding.
- Live Deposit protection tracking Landlord records deposit receipt date, confirms TDP scheme, uploads evidence. Tenant Trust tracks the 30-day deadline with escalating alerts. Tenant is notified and sees deposit status on their dashboard.

Tenant empowerment โ portability, references, re-use
- Partial Request reference from landlord Tenant can request a text reference and gold/silver medal rating from their current landlord.
- Planned Artefact re-use and branded export Tenant can package their onboarding pack as a branded PDF to download and send to another landlord outside Tenant Trust. Branded with TT logo, website, and service description.
- Planned In-ecosystem tenant migration Tenant can re-use their onboarding artefacts to onboard with a new landlord within Tenant Trust โ easy migration, great UX.
- Planned Tenant marketplace (future) Tenant can browse other landlords in the Tenant Trust ecosystem, share their onboarding pack for consideration for different properties.
- Planned Peer references and endorsements Tenants can request references and gold/silver coin ratings from other tenants. Displayed on tenant profile screen.

Exit, checkout, deposit return, eviction
- Live Tenant triggers offboarding Tenant initiates their 2-month minimum notice period through Tenant Trust. Notice period tracked and countdown visible.
- Live Checkout process with landlord Structured checkout process: landlord and tenant confirm room condition, agree deposit deductions, handle key return.
- Partial Room condition photos on exit Tenant uploads room photos on exit for evidence. Compared against pre-tenancy photos for deposit disputes.
- Live Message audit trail for disputes All messages tracked for both parties. In a deposit dispute, the message history and photos form the evidence base.
- Live Deposit return reminders Landlord reminded to release deposit. Messages and evidence speak for themselves on the platform.
- Partial AI-assisted deposit dispute drafting AI buddy helps draft messages for the deposit scheme. Packages evidence, invoices, damage claims. Drafts for landlord to review and send.
- Partial Section 8 eviction wizard Landlord guided through Section 8 process: select grounds/articles, link evidence, generate RRA-compliant notice. Export to PDF, Word, or email to self for editing.
- Planned MOL guided process Same guided approach as Section 8. All details should be in the system. AI drafts letters and forms. Export options for landlord to polish.
- Live Full deposit return flow If no deductions, streamlined full return confirmation. Tenant receives celebratory email. Evidence logged.
Privacy posture
Your landlord sees what they need to administer the tenancy. Tenant Trust staff see anonymised aggregates for product development; support access to personal data is logged, reason-coded, and visible to you. We run on UK-region Azure infrastructure. We do not sell data.
If you ever want out: request erasure from your dashboard. Personal data is purged within 30 days; tenancy-period records are retained in pseudonymised form for legal defensibility only (UK GDPR Art 17 exception, landlord dispute-evidence retention).
